PRIVATE STUDY POLICIES

 Student Absence

Student Excused & Unexcused Absence Policy for Tuition Plan Students

Students are expected to attend all scheduled lessons. It is the responsibility of students and/or guardians to plan their schedules to avoid excessive conflict with scheduled lessons. 

1. However, there are circumstances that lead to Excused student absences which warrant a scheduled make-up lesson.

Students and/or guardians who notify their instructors of a planned absence with at least two-weeks notice will be provided an opportunity to reschedule the missed lesson during the student’s time of enrollment. 

Make-up lesson scheduling should be arranged between the student and/or guardian and the instructor. 

If a scheduling arrangement cannot be achieved, a refund will be provided.

2. Student absences with less than two weeks notice are not considered Excused student absences. These absences may be excused at the instructor’s discretion, so make-up lesson scheduling is not guaranteed and refunds are not provided. 

3. Students are expected to arrive on time for scheduled lessons. In the case of tardiness, instructors will wait ten minutes for the student to arrive before considering the lesson to be cancelled without notice.  

Student Absence Policy for Ticket Plan Students

Students are expected to attend all scheduled lessons. It is the responsibility of students and/or guardians to plan their schedules to avoid excessive conflict with scheduled lessons. 

1. In the event of a lesson cancellation, the cancellation policy is as follows. 

Lessons cancelled with at least 24 hours notice to the instructor or the school do not result in a cancellation fee, and the absence is considered an Excused Absence. Make-up lesson scheduling should be arranged between the student and/or guardian and the instructor.

Lessons cancelled with less than 24 hours notice will result in a cancellation fee, and the absence is considered an Unexcused Absence.

Definition: The cancellation fee is the cost of the lesson.  

2. Students are expected to arrive on time for scheduled lessons. In the case of tardiness, instructors will wait ten minutes for the student to arrive before considering the lesson to be cancelled without notice. 

Instructor Absence

Instructors are expected to meet their lessons or classes at the scheduled times, to be prepared for all lessons or class sessions, and to start and end lessons or classes at the scheduled times. 

When instructors know in advance that they will be unable to attend a particular lesson or class session, they are responsible for notifying the students and/or guardians. 

Instructors will provide a minimum of two-week courtesy notice for planned absences unless the cancellation is due to an unexpected illness or emergency. 

Instructors will attempt to schedule a make-up lesson (for private study students utilizing the Tuition Plan enrollment option) or a make-up class. However, if a make-up lesson or class cannot be scheduled, a refund will be provided to the student and/or guardian and faculty do not receive pay for the lesson or class.  

Unexpected School Closure

If a class is unable to be held due to inclement weather or an emergency situation, notification of class and lesson cancellations will be sent to students and/or guardians by email. Cancelled classes will be rescheduled. Cancelled lessons may be rescheduled or a refund will be provided.

School closures related to inclement weather are in alignment with closure decisions for Bend-La Pine School District and will be posted on the Cascade School of Music website by 8:00 a.m. 

Withdrawal

1. Tuition Plan Enrollment Option: Withdrawal notices should be provided to the instructor and to the school. If a student wishes to withdraw from private study prior to the end of the session, the student’s withdrawal date is set to the last day of the month the withdrawal notice is given. 

 For example, if notice is given on the 15th of the month, the next month’s tuition is waived. If notice is given on the 1st of the month, the monthly tuition is assessed.

2. Ticket Plan Enrollment Option: Withdrawal notices should be provided to the instructor and to the school. If a student wishes to withdraw from private study prior to the end of the session, we ask that at least 2-weeks notice is provided. 

CLASS POLICIES

 Student Absence

Students are expected to attend all scheduled class meetings. If a student cannot attend a class, notification of the absence should be provided to either the instructor or the school. 

No refunds or credits are provided for missed classes. If the student misses more than one class, the student may be asked to schedule and pay for a private lesson in order to return to the class. 
 

Kindermusik Student Absence

Students are expected to attend all scheduled class meetings. If a student cannot attend a class, notification of the absence should be provided to either the instructor or the school. 

The student may attend another class by contacting the school to reserve a seat in the class. No refunds or credits are provided for missed classes. 

Instructor Absence

Instructors are expected to meet their classes at the scheduled times, to be prepared for all class sessions, and to start and end classes at the scheduled times.

Class Cancellation Decisions

Classes may be cancelled due to insufficient enrollment. Class cancellation decisions are made one-week prior to the class start date and communicated to by email.  

Payment

Payment of tuition and fees must be submitted at the time of registration. 

Discounts

Seniors

 We offer seniors (age 65 and older) a 10% discount off total tuition for any class or private study (no restrictions).

Youth Band Participation

Discounts on class tuition are available for members of Cascade Jazz, Headliner Band, and Opening Act Band. 

10% off full class tuition for returning band members. 

10% off full class tuition for band members in more than one band. 

 Withdrawal & Refund

Students may withdraw through the first day of class and receive a full refund. Withdrawals after the first day of class do not result in a refund.  

GENERAL POLICIES

Photo Release

Students give Cascade School of Music the right to take photographs and videos in connection with music instruction and performance. 

We ask for permission to use, reproduce, or publish student images, likeness, or voice without compensation or any other consideration, in photographs and/or video for purposes of publicizing Cascade School of Music programs and initiatives and for any other lawful purpose. These photographs and audio-visual recordings are the property of Cascade School of Music and will not be returned. 

In addition photographs and audio-visual recordings will be in the public domain and Cascade School of Music may further reproduce, edit, alter, copy, exhibit, publish, or distribute these photographs and audio-visual recordings without further permission. By agreeing, students/guardians waive the right to inspect or approve the finished product, including any written or electronic copy, wherein the student’s image, likeness, or voice appears.

By providing permission, the student/guardian hereby hold harmless and release and forever discharge Cascade School of Music from all claims, demands, and causes of action which his/her, my heirs, representatives, executors, administrators, or any other persons acting on my behalf or on behalf of my estate have or may have by reason of this authorization.

To opt out of the Photo Release, an authorization form is available from the school office.

Privacy

Your privacy is important to us. The information we collect is used to successfully deliver educational programming. We do not share your information outside of our organization, and any information released to support funding or grant applications is shared in a way that is non-identifying and aggregated. 

Student Safety

Student safety is an important concern. 

1. Notify the school office if an injury or medical concern arises and/or may affect a student’s participation. 

2. Students may arrive up to 15 minutes prior to the start of the lesson or class and be seated in the waiting area.

3. Students should be picked up promptly following their lesson or class. Students are not allowed to wait outdoors for their guardians.The student waiting area is inside the building. 

Registration Fee

An annual registration fee of $25 is assessed per account. Payment of this fee is required for registration into all classes and private lessons.

Outstanding Balances & Delinquent Accounts

Cascade School of Music reserves the right to suspend or discontinue instruction of any student who is delinquent in fulfilling financial obligations.

Returned Check 

The return of a check issued to Cascade School of Music results in the application of the returned check fee on the student account.
